The administrative assistant is responsible for the administrative detail of Maine Robotics. This includes interacting with the Executive Director; the staff; the volunteers; the press; and the public.

The administrative assistant is a key role in the maintenance of Maine Robotics’ vital STEM outreach programs and provides the administrative glue that holds it together.

Daily tasks include, but may not be limited to (actually you probably can’t do all of this in 20 hours, but there’s a lot to keep someone busy):

Correspondence, email, phone contacts
o Triage of incoming phone and email messages for the Executive Director
Maintenance of records and contacts and email lists
Working on our periodic eNewsletters
Working on marketing material
Arranging for site approval, building use forms, etc for our camp programs
Bookkeeping, invoicing, billing, budgeting, bi-weekly payroll entry,
o QuickBooks data entry and maintenance
o Travel advance and travel form accounting
Filing and archiving of material
Photocopying and/or working with off-site printers
Procurement of material needed by the office or the programs
Work with Executive Director on new-hire and re-hire screening and ordering of background checks
Work with various software packages
o Microsoft Office (Word, PowerPoint, Excel, Access)
o Paint Shop Pro
o GoToMeeting (online conferencing software, use and scheduling)

Term: Year round, half time. Occasional Saturday work is required during our event seasons.

Reports to: Executive Director

Compensation: $9.50/hour

Maine Robotics is a non-profit corporation serving youth and schools here in Maine. The work has a huge impact on the 1,700 students we work with each year.
